Administrative bottlenecks: which of these basic management mistakes could you be making?

  • Published in: 08/08/2022

Administrative bottlenecks are what limit your company's capacity. Check out some basic errors and how to solve them so as not to impact your productivity.
Managers, regardless of the sector or level in which they work, spend a good deal of their time managing crises. For example, interpersonal disagreements and problems with the equipment used. In any case, these and other administrative bottlenecks which limit production and bring losses to the company.

What are administrative bottlenecks?

Production systems are made up of several stages: purchasing raw materials, storage of products, quality control and sales. Any point that interrupts this flow can be considered a “bottleneck”.

You administrative bottlenecks cause the company to face a series of problems, including reduced or even paused work, increased expenses and difficulty in achieving goals.

5 Administrative bottlenecks your company may be experiencing

To avoid interruption of operations, the manager needs to pay attention to some basic errors that he may be making:

Ignore that errors happen

In recent years, the logistics sector has learned in practice that unforeseen events happen, whether with the truckers strike or the COVID-19 pandemic. Not to mention operational errors, which can happen at any time.

This type of problem exists and is part of everyday life. Ignoring this fact is a basic management error. We know that managing a business is not easy, but being aware of possible flaws is the first step to improvement.

Be open to listening to employees, invest in training and hire software to improve management of the warehouse. This will minimize the administrative bottlenecks and make the company better prepared in case of unforeseen events.

Lack of raw material management

When bottlenecks occur at the beginning of production, all subsequent phases are compromised. Management needs to closely monitor inputs and outputs to ensure that there are enough products to meet demand.

Recording this flow is quite laborious. Therefore, many companies use tools such as the warehouse management (WMS).

Lack of equipment maintenance

One of the main causes of administrative bottlenecks is to ignore the importance of equipment maintenance. There are two types of service:

• Preventive: This kind of frequent inspection allows the person in charge to check the need to replace parts and repair components. This minimizes the chances of the machine stopping working.

• Corrective: This happens when the equipment has already stopped working, which causes great losses to the company. This process aims to put the equipment back into operation.

Many managers wait for the machine to stop working before calling a technician, but this only makes the situation worse. The ideal is to perform preventive maintenance, which saves money by ensuring that the equipment does not stop working. It is up to the manager to be aware of the frequency of these services and to contact the responsible company whenever necessary.

Cost management failures

Anyone who thinks that costs cannot cause harm is mistaken. administrative bottlenecks. When managers fail to monitor production line expenses, they lose valuable insights into which points increase costs and make the flow more expensive.

Consequently, you may make bad decisions that will impact the entire company: reducing staff, choosing cheaper products... Having an overview of production, including its costs, is the best way to identify areas for improvement and make smart decisions.

At some point, every company will suffer from administrative bottlenecks. It is important to pay attention to the signs to resolve them before they have a major impact on your business.
